The Project Coordinator serves as the project controls system software lead and trainer for Capital and Service Development (CSD) planning, design, and construction project teams, which include Agency staff, partner agency personnel, consultants, and contractors. Additionally, this position serves as lead on troubleshooting system issues; maintains associated document control procedures; and provides support to design and construction management teams in coordinating and supporting capital project administrative needs at the field offices.

Responsibilities/Duties

Serves as lead and trainer for Valley Metro’s project control system software for multiple capital projects during the planning, design, and construction phases. This includes establishing user permissions, troubleshooting issues as they arise and traveling to multiple office locations as needed to perform training and provide support.

Trains project administrative assistants on procedures to ensure consistency across the capital program. Assists in the resolution of issues related to business processes or systems problems.

Provides back up administrative support on multiple capital projects and assists with submittal processing and/or project administrative duties as needed.

Processes and reconciles multiple invoices and purchase orders through the agency ERP software system, uses appropriate purchasing methodology and follows procurement/financial processes.

Provides lead support to the construction project team for setup, maintenance and demobilization of agency owned equipment/agency allocated space at field offices.

Ensures multiple capital projects adhere to existing project manuals and document control process/procedures under the guidance of the Project Manager and Program Coordinator.

Monitors use of project controls system software for compliance with document control procedures during planning, design and construction.

Effectively and accurately communicates relevant project information between project team, external/internal participants and manager.

Prepares, updates, and maintains a wide variety of project communications, business documents, reports, and other related project information.

Performs general administrative functions as needed.

Performs other duties of similar nature and level as assigned.

Qualifications/Requirements

Bachelor's Degree in Construction Administration, Business Administration, Public Administration or related field and three (3) years’ experience in administrative support of construction projects or, an equivalent combination of education and experience sufficient to successfully perform the essential duties.

Licenses and Certifications:
Valid Arizona driver license

Preferred Qualifications
Experience with Aconex software
Experience with administrative and document control support of construction projects is highly preferred.
